Unabridged vs abridged: why it matters
South Africa has issued two formats of birth certificate, and the difference decides whether your document is accepted overseas.
Unabridged birth certificate — the one you need
The unabridged certificate is the full record. It shows the child's details together with both the mother's and the father's particulars, including their ID numbers. Since 2013, Home Affairs has issued the full version by default to new registrations — but anyone born before then usually only holds the abridged form. The unabridged certificate is the version foreign authorities expect, and the version DIRCO and the High Court will apostille.
Abridged birth certificate — usually rejected
The abridged certificate is a summary that names only one parent. Foreign embassies, immigration departments and universities treat it as incomplete, so it is routinely rejected for visas, residency, citizenship-by-descent and study applications. If the abridged version is all you hold, you need the unabridged certificate before anything else can happen — that is the step we handle.
Not sure which one you have? An unabridged certificate is a full-page document headed "Unabridged Birth Certificate" and lists both parents. An abridged certificate is shorter, often headed simply "Birth Certificate", and names one parent. If in doubt, WhatsApp us a photo and we will confirm before you spend anything.
How to get an unabridged birth certificate
There are two routes, and we would rather you see both:
- Apply yourself. Complete the application at a Home Affairs branch with your ID and supporting details (form BI-31/DHA-19). There is no full online application — the form must be lodged at a branch, or at a South African mission if you are abroad. Collection typically takes about two weeks, though branch backlogs can extend this considerably.
- We obtain it for you — R2,750. We prepare the application correctly, lodge it, follow it up until the certificate is issued, and collect it. The paperwork, lodgement, follow-up and collection are handled for you, and if the certificate is going abroad we move straight into the apostille in the same workflow.

No VAT is added. A typical certificate-plus-apostille job lands at R4,400 before courier: R2,750 for the certificate and R1,650 for the apostille.
Older births: if your record is not on the modern population register — common for pre-1980 births — Home Affairs must retrieve it from the archive before a certificate can be issued. What people need it for
- Immigration and residency — most countries require the unabridged certificate for visa and residency applications.
- Citizenship by descent — proving parentage for an Italian, Portuguese, German or other ancestral citizenship claim.
- Children travelling internationally — minors need the unabridged certificate showing both parents.
- Marriage abroad — many jurisdictions ask for an apostilled birth certificate before registering a marriage.
- Study abroad — universities frequently require proof of identity and parentage for enrolment and student visas.
- Overseas pensions and estates — establishing identity and lineage for foreign pension or inheritance claims.
Adults can apply at any age — you do not have to be a child, and most of our clients are adults who only hold the older abridged certificate.
Going abroad? The certificate alone is not enough
A foreign government has no way to know a South African certificate is genuine. For the 125+ Hague Convention countries, it must carry an apostille; for non-Hague destinations such as the UAE and Qatar, it needs embassy attestation instead. We add either to the same run — the certificate goes straight from Home Affairs into the legalisation queue without a second process.
Frequently asked questions
Can I apply for an unabridged birth certificate online?
No — there is no full online application. It must be lodged at a Department of Home Affairs branch, or at a South African embassy if you are abroad. The simplest "online" route is to let us apply on your behalf: send us your details on WhatsApp and we lodge, follow up and collect for R2,750.
How long does it really take?
Typically around two weeks through our route. Home Affairs controls the clock, and we will not pretend otherwise — some records, particularly older ones, take longer, and we tell you the moment we know. Records that need an archive search are a different timeline entirely (see vault copies).
Why won't my abridged certificate be accepted abroad?
The abridged certificate omits the parents' details, so foreign authorities treat it as an incomplete record. Embassies, immigration departments and universities almost always require the unabridged version, and the abridged form is routinely rejected.
Can adults get an unabridged birth certificate?
Yes. Anyone born in South Africa can apply at any age. Most of our clients are adults who need the full certificate for emigration, a visa, or a citizenship claim.
I'm overseas. Can you still do this?
Yes — that is most of our work. Email us your details and a copy of your ID or passport, and we handle the South African end and courier the finished certificate (apostilled if you need it) to any address worldwide.
Do I need a sworn translation?
If your destination country is not English-speaking, it usually requires a sworn translation of the apostilled certificate. We arrange accredited sworn translations at R1,000 per page, attached to the apostilled original so they are accepted together.
