How we handle your personal information, in line with the Protection of Personal Information Act (POPIA).

What we collect
To obtain civil documents on your behalf, we necessarily handle information that POPIA treats as personal. We collect only what the application requires:
- Full names as registered, including previous surnames and maiden names
- Identity number or passport number, and a certified copy of that document
- Dates and places of the relevant events — birth, marriage, divorce or death
- Details of family members named on the records applied for (parents, spouses, the deceased)
- Contact details — email address, phone number, postal or courier address
- The destination country for your documents, where legalisation is involved
We do not collect payment card details on this website.
Why we collect it
Solely to prepare, lodge, follow up and collect your applications, to arrange legalisation, translation and courier where you have asked for them, and to invoice you. We do not use your information for profiling, and we do not sell it.
Who we share it with
- The Department of Home Affairs — the application itself, because Home Affairs is the only body that can issue the certificate.
- The Department of International Relations and Cooperation, the High Court, and foreign embassies — only where you have asked us to arrange an apostille or attestation.
- Accredited sworn translators — only where you have ordered a translation.
- Courier companies — the name and address needed to deliver your documents.
We do not share your information with anyone else, and we do not transfer it outside South Africa except where delivering your own documents to you requires it.
How long we keep it
We keep application records for as long as needed to complete your matter and to meet our legal and tax retention obligations. Physical documents are returned to you or securely destroyed once the matter is finished. You may ask us to delete your information sooner where no legal obligation requires us to retain it.
Your rights
Under POPIA you may ask us what personal information we hold about you, ask us to correct it if it is wrong, ask us to delete it where we are not required to keep it, and object to processing. Write to [email protected] and we will respond within a reasonable period. If you are not satisfied, you may complain to the Information Regulator of South Africa.
Cookies and tracking
This website sets no cookies and runs no analytics, advertising or third-party tracking scripts. There is nothing to consent to and nothing to opt out of. If that changes, this policy will be updated first and consent obtained where POPIA requires it.
Security
We restrict access to your information to the people handling your matter and take reasonable technical and organisational measures to protect it. No system is perfectly secure, and we do not claim otherwise.
