Terms of service
The basis on which we take on your matter.
1. What we are
Easy Home Affairs Certificates is a service of Easy Services Group, a private document service. We are not the Department of Home Affairs, the Department of International Relations and Cooperation, or any other government body, and we are not affiliated with or endorsed by them. You are entitled to apply to Home Affairs directly yourself.
2. What we do
We prepare, lodge, follow up and collect applications for South African civil documents — birth, marriage, death and related certificates, letters of no impediment, divorce records, vault copies and register rectifications — and where you ask, arrange apostille or embassy attestation, sworn translation and courier delivery.
3. What we do not do
We do not issue certificates — only the Department of Home Affairs does. We cannot change what a civil record contains, and we cannot alter, expedite or override departmental processing times. Any timeline we give is an estimate based on experience, not a guarantee, and we do not accept liability for delays at Home Affairs, DIRCO, a court, an embassy or a courier.
4. Your obligations
You must give us accurate and complete information, including all names exactly as registered and any previous names. You are responsible for the authenticity of documents you supply. Where information you provide is incomplete or incorrect and an application fails or is delayed as a result, additional lodgement costs are for your account.
5. Fees and payment
Our fees are as published on the pricing page at the time of your order — R2,750 for a standard unabridged certificate, with archive, vault and other services priced as listed. Courier is charged separately at the rate applicable to the destination. Apostille is R1,650 per document. No VAT is added; Easy Services Group is not a VAT vendor. We quote the full total before work begins, and work begins once payment is received unless agreed otherwise in writing.
6. Records that cannot be found
If Home Affairs returns no record on the live register, we stop and tell you before any further spend, with the archive options and their real costs and timelines. If a record genuinely does not exist, Home Affairs issues a formal no-record letter; obtaining that letter is a completed service, and the fee for the search is not refundable, as the work has been performed.
7. Refunds
Our fee is refundable in full if we have not yet begun work. Once an application has been lodged with Home Affairs, our fee is not refundable, as the work and the disbursements have been incurred. What a certificate contains is not grounds for a refund — the certificate reflects the register, and reporting it accurately is the service working as intended.
8. Documents in our care
We take reasonable care of documents entrusted to us. Do not send original identity documents; certified copies are what the applications require. Our liability for loss or damage to documents in transit is limited to the courier's declared liability.
9. Limitation of liability
To the extent permitted by law, our total liability arising from any matter is limited to the fees you paid us for that matter. We are not liable for indirect or consequential loss, including missed visa appointments, travel costs, lost employment or immigration outcomes.
10. Privacy
We handle your personal information in accordance with our privacy policy and the Protection of Personal Information Act.
11. Governing law
These terms are governed by the laws of the Republic of South Africa.
